My Client, based in Central Singapore is looking for a strong and experienced Executive Assistant (60%) & Office Manager (40%).

This newly created role promises to have lots of challenges for this new hire as they are going through a high level of growth and there will be the need to relocate to new offices in the next few months


  • Daily secretarial support to BU Director, Sales & Marketing director
  • Responsible for travel ticket reservation, hotel reservation, airport pickup and daily meeting car reservation
  • Assist in preparation of visa application materials for international travel
  • Meeting support (application, withholding, write-off)
  • Support Sales Development Meeting, Gate Keep Meeting, Dealer conference, Annual meeting, Other internal meetings
  • Conference invitation sending and conference room reservation, do related preparation, such as meeting room table and chair layout design, prepare tea break and order meal
  • Pre-audit of approval materials of BU Head - all kinds of contracts, all kinds of application forms (be familiar with all kinds of supporting materials and internal audit process)
  • Write internal communication documents and speeches
  • Assist to complete the form collation, report making and data analysis
  • Stationery reservation
  • Departmental snack booking
  • Maintain and inventory office equipment to ensure a comfortable office environment
  • New Employee Orientation
  • After receiving the on-board notice issued by HR, apply for laptop, badge, business cards, etc.
  • Open system permissions and public disk permissions for new employees
  • New employee internal process training
  • Payment
  • Third party employee service charge application
  • Monthly statement account check and payment
  • New vendor application


  • At least 3 years' experience in foreign invested enterprises, familiar with administration process
  • Proficient in Outlook, WORD, EXCEL, PowerPoint and other office software
  • Work conscientiously, proactive, quick learner, ability to work under pressure, sense of ownership, efficiency consciousness
  • Excellent communication skills, helpful and service-oriented
  • Sound English skills both written and spoken
